Reconciling plan prices and actual charges
Reconcile Pikabao Virtual Credit Cards payment records with merchant bills. Advertised prices, taxed totals, authorizations and settlement can differ; an amount difference alone does not identify its source.
Listed prices, taxes and actual charges
Taxes, currency conversion, usage, adjustments or authorization states can create differences between advertised prices and charges. Compare the merchant bill with settled transactions before concluding that the platform charged extra.
- Review the bill breakdown
- Review plan charges, taxes, usage and discounts and confirm the billing period and service account.
- Separate holds and settlement
- Pending holds are not necessarily final spending. Check related transactions before adding multiple records together.
- Check currencies
- Compare merchant billing currency with card accounting currency and confirm conversion charges in the applicable breakdown.
Advertised prices are not every order’s final charge. Taxes, conversion, usage, adjustments, discounts and authorization states can create differences. Duplicate settlement may also need investigation; do not attribute every difference to tax or rule out an error.
The 3% card-allocation fee is separate from merchant spending. Allocating $40 to an existing card illustrates a $41.20 account debit. A later $18 merchant purchase is not $19.20 of spending including the funding fee.
Compare the same period, service account and currency. Quotes, checkout, invoices and card settlement reflect different stages. A plan screenshot from another region does not establish overcharging.
Reconciling differences by billing type
The table lists fields to inspect, not universal tax rates or charging rules inferred from merchant registration. Use the current merchant bill and applicable guidance.
| Billing type | Key fields | Questions to resolve |
|---|---|---|
| Fixed subscription | Plan, period, discounts, taxes and total | Price changes, expired discounts or annual billing |
| API / cloud services | Usage, units, period and adjustments | Excess usage or earlier unpaid amounts |
| Advertising payments | Spend records, thresholds and taxes | Whether several charges cover separate spend intervals |
| Foreign-currency order | Original total, accounting currency and conversion | Different currencies or conversion timing |
| Verification and holds | Authorization reference, state and related settlement | Whether pending records belong to the same payment |
Monthly, annual and usage billing for the same product can have different periods and totals. One successful subscription payment does not establish unchanged future bills or substitute for API and advertising budgets.
Match invoices to settled amounts
Open the merchant bill or receipt and record the order, service account, period, currency, subtotal, taxes, discounts and total. There may be several tax items; reconcile the actual breakdown.
Locate the card transaction and distinguish authorization, settlement, reversal and refund. Check related references before treating an authorization and settlement as two purchases.
A $20 subtotal and $1.60 tax illustrate a $21.60 bill, not a universal 8% tax rate. An additional $1 pending verification does not establish $22.60 of final spending.
If settlement in the same currency still differs from the invoice, keep both records and explain the difference. Ask the merchant for missing items without assuming a universal billing interface or response deadline.
Tax details and future funding plans
Billing address, name and tax details must be accurate and meet merchant requirements. Do not invent a tax-free location. A BIN is a card attribute, not proof of residence, tax status or exemption.
Businesses with applicable evidence may request merchant review under local rules. A VAT number or region-specific card does not guarantee exemption, and this page is not tax advice.
Check the next taxed bill before an optional $1–3 buffer. Larger usage and adjustments need their own budgets; a fixed 8%–20% margin or first-period tax rate does not cover every change.

Investigate duplicate charges and pending records
Two identical amounts are not necessarily duplicate spending. Check states, references and periods. If two independent settlements match one order, ask the merchant and retain both records.
This page does not promise that holds release within 24–72 hours. Use merchant guidance and transaction status and investigate overdue progress. Refunds, reversals and disputes are distinct; dispute availability and recovery timing are not automatic guarantees.
Provide order and transaction IDs, amounts, currencies, times and merchant replies with full card and verification details hidden. For unknown merchant payments, follow account-security procedures promptly rather than only waiting for release.
Reconcile payments and later refunds
For a $21.60 settlement followed by a credited $5 refund, net spending illustrates $16.60; the original debit need not disappear. Track unreceived refunds separately rather than reducing settled spending early.
Keep this period’s invoice and the next renewal notice, separating spending, platform fees and funds. Reconcile adjusted bills afresh rather than treating one reconciliation as a guarantee of future totals.
