Virtual card total costs: funds, fees and refunds
Check Pikabao Virtual Credit Cards’ fees separately from funds. Calculate each issuing or funding operation before submitting and reconcile it against the completed order.
Four virtual-card charges
Separate payment funds from actual service fees when calculating total outlay. Check issuing, card funding, applicable decline fees and external-refund charges separately. No monthly or annual fee does not make every operation free.
Total outlay includes payment funds and service fees; they are not all “fees.” Conditional charges depend on the segment and operation. Identify the actual workflow before calculating.
| Item | How to check |
|---|---|
| Card funds | Funds for later payments, not a service fee |
| Issuing fee | From $1; confirm the selected segment |
| Funding fee | Currently published at 3% of allocated funds |
| Decline fee | Most segments do not charge; follow rules where applicable |
| External-refund fee | Check charges and net receipt when requesting a refund |
| Account-deposit fee | $0; sender charges are separate |
No monthly or annual fee does not make issuance, funding and external refunds free. Add actual sender costs, merchant taxes and currency conversion separately rather than combining them into one platform rate.
Issuing examples for different budgets
The table assumes a $1 issuing fee and 3% funding rate, excluding merchant spending, taxes, conversion, sender costs and other applicable operations. Examples do not establish identical funding allowances across segments.
| Funds | Assumed issuing fee | Funding fee | Total outlay |
|---|---|---|---|
| $20 | $1 | $0.60 | $21.60 |
| $100 | $1 | $3 | $104 |
| $500 | $1 | $15 | $516 |
| $2,000 | $1 | $60 | $2,061 |
| $20,000 | $1 | $600 | $20,601 |
For the $100 row, the $104 outlay consists of $100 in payment funds and $4 in service fees. Those fees are not remaining principal and do not establish a later refundable amount.
Planning funds for first use
Check the merchant’s current taxed bill and payment requirements before choosing a suitable segment. Do not deposit solely to reach a universal suggested amount or substitute a cheaper segment for merchant requirements.
Calculate card funds, issuing and funding fees on the issuing page, then compare with existing account balance. For USDT deposits, check post-fee receipts against the per-transfer minimum.
After issuance, reconcile order and funding records. Before renewal, check available funds and transaction limits. An optional $1–3 buffer above the actual bill is distinct from API or advertising budgets.
Three monthly allocations of $20 at 3% illustrate $60 of payment funds and $1.80 in funding fees. With a $1 initial issuing fee, service fees total $2.80. List the $60 separately rather than calling $62.80 a fee.
Compare upfront and monthly allocations using the same total, rate and other conditions. Allocating funds earlier does not lower this proportion, though time on the card and later return plans differ.
Remaining funds and refund charges
After spending, not all remaining funds are necessarily returnable. Check holds, unsettled transactions and waiting conditions first. An external refund follows a separate process after card funds return to the account.
If a page shows $80 refundable and a $3 fee, the illustrative net receipt is $77. Do not simply subtract $3 from total balance when it differs from the refundable amount. Confirm minimums, network and currency at submission.
Refund receipt and completed closure are different states. For pending merchant refunds or disputes, do not casually close the original card to free a slot. Confirm the refund path and unfinished matters first.
Reduce unnecessary outlay rather than idle funds
- Set the usage budget
- Plan card funds using the checkout total including tax, billing currency and renewal date, not just the advertised price.
- List service fees
- Calculate issuing and funding fees. Add conditional charges only when applicable; not every segment charges decline fees.
- Calculate exit separately
- Check refundable funds and settlement conditions before external-refund charges. Keep previously charged service fees separate from remaining principal.
A 3% rate on the same total does not fall when operations are combined. Allocating $60 costs $1.80; three allocations of $20 still total $1.80 in proportional fees.
New cards add issuing fees and use unclosed-card slots. Ordinary users have up to five; advertising users may receive up to thirty after approval. Frozen and idle cards still count, and separate cards do not guarantee risk isolation or account independence.
For unclear bills or orders, stop repeated payment tests and check errors and transaction states. Decline fees follow applicable segment rules; repeated small payments are not necessarily free acceptance tests.

Keeping records for cost reconciliation
Retain submission breakdowns, order IDs and completion records, listing funds, platform fees and merchant spending separately. Investigate differences on the same order rather than applying another card’s rules.
Business needs can be assessed officially with fees and scope separately confirmed; a request does not establish a discount. Resolve fund or fee discrepancies through official support without giving intermediaries account access or verification codes.
An exit budget should distinguish merchant spending, currently returnable or refundable funds and incurred service fees. Mark pending authorizations for review rather than counting them entirely as refunds or spending.
For use after a refund, review each new operation’s fees. External refunds, new account deposits and card allocations are separate stages; a previous fee does not make every future use of those funds free.
